Transfer Archers to Another School

Use School Manager to move existing archer history records when archers change schools. The current school's coach can transfer one or more archers directly, or the receiving school's coach can request an archer's transfer.

A transfer initiated by the current school is immediate. The destination school is not asked to approve it. A receiving school can instead use Archer Transfer Requests, described below. Confirm each archer, the destination school name, and the School ID before completing a transfer.
Before You Start
  • To request an archer, you must have coach access to the receiving school. To approve, deny, or initiate a direct transfer, you must have coach access to the current school. Administrators and coordinators may act within their authorized access.
  • Confirm that you have the correct archer or archers. The Archer ID is the best way to distinguish archers with similar names.
  • Confirm the destination school's official name and School ID. Only active schools can receive transfers. Use the School ID when multiple schools have similar names.
  • Do not add a second archer record at the destination school. Transferring the existing record preserves its Archer ID and history.
Request an Archer from Another School

For the receiving school's coach: Use this option to bring an existing archer record to your school.

Archers whose names are hidden on the website are excluded from transfer requests, including searches by Archer ID. Their current school coach must initiate the transfer using Action > Transfer To Different School on the School Archer List.

  1. Log in to nasptournaments.org, open School > School Manager, and open the receiving school.
  2. Select Archer Transfer Requests in the bottom row of buttons on the school's main page. The same option is also on the School Archer List.
  3. Select New Archer Transfer Request to open the Request a transfer to this school form.
  4. Enter the Archer ID if known. Otherwise, enter the current school's name or School ID, select Find School, choose the correct school, and enter the archer's full first and last name.
  5. Select Find Archer. Check the matching archer's name, Archer ID, and current school. Select Request Transfer and confirm the request.
  6. Track the Pending request under Requests to bring archers to this school. Both schools can track it, and associated coaches receive email. The archer and Academic Archer records stay at the current school until the full transfer completes.

The requester can select Cancel Request before the deadline. Only one request may be pending for an archer. Once a request is denied, that receiving school cannot request the same archer again. This applies even if a different coach submits the request or the archer changes schools, and there is no coordinator or administrator override. The current school's coach can still initiate a direct transfer.

Approve or Deny a Transfer Request

For the current school's coach: Any authorized coach at the current school may respond before the deadline.

  1. Open the current school in School Manager and select Archer Transfer Requests in the bottom row of buttons.
  2. Under Requests for archers at this school, check the archer, receiving school, requester, and deadline.
  3. Select Approve & Transfer and confirm to complete the transfer immediately. To decline, enter a Reason for denial, select Deny Request, and confirm. A denial leaves the archer and Academic Archer records at the current school and permanently prevents that receiving school from requesting the same archer again.

If no action is taken within three days (72 hours), including weekends, the transfer becomes due for automatic processing, normally within five minutes. Deadlines and completion times are shown in Eastern Time (EST/EDT). The waiting period is always 72 elapsed hours, including when daylight saving time changes. Both schools can see the outcome and reason.

If the archer is moved, removed, or merged, the pending request closes. Hiding the archer's name also closes the request without moving any archer or Academic Archer data. Requests close without transferring if the destination becomes inactive or the requester loses access.

Transfer One Archer
  1. Log in to nasptournaments.org.
  2. Open School > School Manager, then open the school where the archer is currently listed.
  3. Select Archers to open the School Archer List.
  4. Find the archer. If the archer is not shown, check the Active Archers, Inactive Archers, and Archived Archers filters.
  5. For the correct archer, choose Action > Transfer To Different School.
  6. The transfer screen opens with that archer checked and the matching status filter selected. Verify the archer's name and Archer ID before continuing.
  7. Select the destination country and state, then select the destination school. The school list includes only active schools, excludes the current school, and shows the School ID with each available destination.
  8. Select Transfer Selected Archers.
  9. Review the confirmation message. Select OK only if the destination is correct.
  10. After the transfer, the site returns to the source school's archer list. The archer is now listed as an active archer at the destination school.
Transfer Multiple Archers
  1. Open the source school's School Archer List.
  2. Select Transfer Archers.
  3. Use the status and search filters to find the archers. Check each archer to move, or use Select all shown. Selections remain checked when a filter hides a row.
  4. Select the destination country and state or province. Only active schools appear. Filter the destination schools by name, School ID, or ZIP/postal code, select the school, and confirm its School ID.
  5. Select Transfer Selected Archers, review the confirmation, and select OK.
  6. The entire selection is transferred together. If any selected record is no longer available at the source school, none of the selected archers are moved.
What the Transfer Moves
  • Each selected existing archer history record and Archer ID moves to the destination school.
  • Prior results and history tied to each record remain with the corresponding archer.
  • Each transferred archer becomes Active at the destination school.
  • A current-season Academic Archer record, when present, moves to the destination school only when the full archer transfer completes. Creating a pending request does not update Academic Archer data.
  • Each transfer is recorded in Transfer History. At the destination school, open Archers > Action > View/Edit for an archer to review it.
Tournament Rosters Are Separate

The School Archer List is not a tournament roster. Transferring an archer in School Manager does not replace the tournament-specific process for roster changes.

Review any current or upcoming tournament registrations separately. Use the tournament registration or tournament administration screens for substitutions and changes to a team, team group, flight, target, or scorecard.

Troubleshooting
  • The archer is missing: Check all three archer-status filters and confirm that you opened the current school.
  • A transfer request search finds no match: Check the Archer ID or the selected current school and exact first and last name. Archers whose names are hidden cannot be requested, even by Archer ID; their current school coach must initiate the transfer.
  • The destination school is missing: Confirm the selected country and state and verify that the school is active. Only active schools in that location appear.
  • You cannot open the transfer screen: Confirm that your account has access to the receiving school to make a request, or to the current school to approve, deny, or initiate a direct transfer. If access is still needed, follow the school-association process or contact the appropriate coordinator or NASP support.
  • You selected the wrong destination: After confirmation, an authorized user for the archer's current school must transfer the record again, or you must contact NASP support for assistance.
  • The archer needs a tournament change: Use the registration or tournament administration workflow; do not create a duplicate archer to work around a roster issue.
