Merge Archer History Records

Use School Manager to combine duplicate history records for the same archer so their tournament history is tied to one Archer ID.

A merge is permanent. Archer 2 is merged into Archer 1 (Primary), and Archer 2's separate history record is removed. Confirm that both records belong to the same person and that Archer 1 is the record you want to keep before proceeding.

Before You Start

  • Log in with an account associated with the school, or with tournament administrator or BAI state coordinator access.
  • Both records must be listed at the same school or organization. If a duplicate is at a previous school, arrange to transfer the existing record to the correct school first.
  • Compare each record's name, grade, Archer ID, and tournament history. Matching last names alone do not mean the records belong to the same archer.
  • The last names must match. To correct a misspelling, open the School Archer List, choose Action > View/Edit for that record, select Edit Archer Info, correct the name, and select Save. Only make corrections that are accurate for that archer.

Choose Which Record to Keep

Selection on the merge screen What it means
Archer 1 (Primary) The record and Archer ID you keep. This list includes only active archers at the selected school.
Archer 2 (To merge into primary) The duplicate whose history moves into Archer 1. This list includes other records at the same school with the same last name, including inactive and archived records.

Each choice shows a name, grade, and ID. Check the ID carefully when names are identical. The primary record's name, grade, gender, and Display name in results and rankings setting remain in use.

Merge the Records

  1. Open School > School Manager, open the school, and select Archers to reach the School Archer List.
  2. Review both records using Action > View/Edit. Check the Active Archers, Inactive Archers, and Archived Archers filters if a record is missing.
  3. Return to the School Archer List and choose Manage Archers > Merge Archers. The Duplicate Archer History Record Merge screen opens.
  4. Under Archer 1 (Primary), select the record whose Archer ID you want to keep.
  5. Under Archer 2 (To merge into primary), select the duplicate. Verify its name, grade, and ID even if the screen selects the only matching record automatically.
  6. Select Merge. Review the confirmation showing Archer 2 being merged into Archer 1. Select Cancel if either record is wrong.
  7. If the records and direction are correct, select Proceed with Merge. A second confirmation asks Once more are you sure? Select OK to complete the merge, or cancel that prompt to stop.
  8. After a successful merge, the site returns to the School Archer List. Open the remaining record with Action > View/Edit and review its details and tournament history.

What the Merge Keeps

  • Archer 1's ID: Use this ID for the combined record going forward. Archer 2 no longer appears as a separate archer in the school list.
  • Tournament history: Tournament entries linked to Archer 2 are linked to Archer 1. The higher recorded Bullseye and 3D tournament high scores are retained.
  • Academic Archer history: Seasons from Archer 2 are added when Archer 1 does not already have an Academic Archer record for that season. If both have one for the same season, Archer 1's record is kept.
  • Transfer history: Recorded school transfers for Archer 2 are associated with Archer 1.

Troubleshooting

  • The record to keep is missing from Archer 1: Confirm the school and the record's status. If needed, return to the School Archer List, find it under Inactive Archers or Archived Archers, choose Action > Make Active, and reopen the merge screen.
  • The duplicate is missing from Archer 2: Select Archer 1 first, then confirm that the duplicate is at the same school and has the same last name. Archer 1 itself is excluded from the second list.
  • The site says both records are registered for a tournament: Resolve the duplicate registration in the tournament named in the message before retrying. Remove the extra tournament entry through the registration process, or ask the tournament administrator for help.
  • The merge fails or history is still missing: Review the displayed message and contact NASP support with the school, both Archer IDs, and the affected tournament names if you need help.
  • The wrong records were merged: Contact NASP support with both original Archer IDs. The merge screen has no undo option.
